Job Description
- Sourcing and requesting quotations from suppliers based on approved Purchase Requests
- Issuing purchase orders to suppliers and coordinating delivery with them
- Confirming credit limits and terms provided by suppliers for large purchase orders
- Arranging delivery for various items such as diesel, lorry crane, lifting cert, machine repair, water dispenser, portable toilet, rental of machinery and vehicles, etc., as per site requests
- Ensuring that invoices are attached with delivery orders or supporting documents signed by authorized site personnel
- Entering data for suppliers’ invoices after verifying quantity and unit rate
- Verifying discrepancies between supplier’s invoices (INV), Delivery Orders (DO), and purchase orders (PO)
- Following up and ensuring that Credit Notes (CN) are received for returned goods or overbilling
- Verifying total monthly Purchase Invoices in the system with suppliers’ statements
- Monthly checking of outstanding Purchase Orders report and following up on undelivered goods
- Monitoring supplier performance and resolving issues with suppliers
- Verifying Project Progress Claims with support documents (QS Support) before proceeding with payment approval
- Knowledge of AutoCount Software would be an advantage
- In case of necessity, covering HR & Finance tasks
- Performing any adhoc duties assigned
